Details the Privacy & Data Protection Policy of Target Information Systems Limited (Target) for Products and Services provided to of our customers (the Client) and for our Sales & Marketing activities (the Prospect). Updated at the last revision to meet the needs of the forthcoming General Data Protection Regulation (GDPR) which comes into effect in May 2018.

How we use information – for our clients

We do not use our Client’s information.

Target acknowledges that we may come into possession of personal data provided to us by our Client. Target and our Clients acknowledge that the Client is the owner and Data Controller in relation to any such personal data and that Target shall only act as Data Processor as agent for the Client.

The Client will at all times comply with its obligations under the GDPR as well as any preceding, subsequent or additional data protection obligations shall indemnify Target on demand for any loss, damage, fine award or costs incurred by Target as a result of any breach of this clause.

All information Clients store in a system provided by Target is only ever accessed for the provision of our services. Target are appointed your agent to undertake its role as data processor.

How we use information – for our prospecting

Like all businesses, we hold personal information for marketing purposes. This information is typically harvested from social media, exhibitions and networking events.

We market to propects in businesses whom we suspect can benefit from the goods and services we provide. We take our lead on using prospect data from The Information Commissioners Office:

We treat your data with respect. Our marketing data is stored in a secure CRM database.

Email marketing

Where email marketing is undertaken, all communication has an immediate unsubscribe. We only ever intend to send relevant marketing communications to our Prospects. If we get that wrong, we will amend our records as soon as we become aware; we value your time as much as we value ours.

Direct approaches

Our Sales or Marketing team may contact prospects from time to time directly from the harvested information.

How data is shared

Data retention

Target keeps Client data (limited to information about clients, projects, invoices and payment information and excluding application data) for a period of seven years upon cessation of Services. This is part of our ISO9001 Quality Management System. Application data, where Target has acted as Data Processor is deleted upon cessation of services unless otherwise agreed with the Client.

We can delete your data upon receipt of a request to delete on a hardcopy letter.

Your rights to access and control your personal data

Clients and Prospects have the right to request what data we hold about them. We intend to service these requests for information on 10 working days.

Prospects can control the message they receive from us by immediately unsubscribing from email communications. Any verbal request to cease contact will be immediately actioned.

Information security

We work hard to keep your data safe. We use a combination of technical, administrative, and physical controls to maintain the security of your data. This includes using Secure Socket Layer (“SSL”) to encrypt all tramission of Client data for our Services. It is important to note that no method of transmitting or storing data is completely secure, however. If you have a security-related concern, please contact security-matters@targetis.co.uk.

Changes to this policy

This policy is subject to an annual review by the Directors each calendar year. Changes to this policy, required to meet regulatory or market changes during the year, will be made during this period.
